Document the current operating baseline
Create a schedule of the existing cage families, occupied and spare cage positions, rack quantities, controller or exhaust arrangement, bottle handling, accessories, and adjacent support equipment. Record the daily cage-change, observation, cleaning, alarm-response, and maintenance routines that the replacement must continue or improve. Separate confirmed information from assumptions so suppliers can identify compatibility questions without treating an old model name as a complete specification.
Survey the room and movement route
Measure the room, doors, corridors, turns, thresholds, ramps, lifts, and staging areas used to remove old racks and bring in new equipment. Mark fixed utilities, exhaust or duct connections, drains, change stations, storage, and service obstructions. The survey should test the loaded movement path as well as the installed position, including temporary parking and the space needed to disconnect, turn, or dismantle equipment where applicable.
Check interfaces before assuming compatibility
Compare cage dimensions and handling, rack connections, bottle or watering method, electrical supply, room ventilation or exhaust interfaces, controls, alarms, cleaning process, and required documentation. Existing cages, accessories, controllers, or room connections should not be described as compatible until the selected replacement configuration has been reviewed. Ask each proposal to list retained items, replacement items, adapters or facility work, and open engineering inputs.
Plan continuity and transition timing
Define how animal housing, cage changing, observation, cleaning, and alarm response will continue while equipment is removed, installed, checked, and returned to service. Record temporary cage capacity, room phasing, shutdown limits, decontamination or cleaning steps, responsible teams, and acceptance points. For an occupied facility, transition planning can be as important as the final rack count because the work must fit the institution animal-care and facility procedures.
Request a comparable replacement proposal
Send the current equipment schedule, cage census, room and route drawings, photographs, interface information, workflow notes, target sequence, destination country, and required submittals in one RFQ package. Ask the supplier to separate base equipment, retained-item compatibility, accessories, facility modifications, removal, installation, commissioning, training, and exclusions. A responsibility matrix helps prevent an equipment quotation from being mistaken for a complete room replacement scope.
